Calem AI - Part 4: Duplicate Work Order Detection

A new AI-assisted feature to detect duplicate work orders is available in the coming R2026f release (September 2026). It uses AI language models to compare subjects and problem descriptions of work orders to determine potential duplicates.

• AI language models can look beyond individual words and evaluate the meaning and context of the work order subjects and descriptions.
• A user-friendly prompt may be presented for duplicate review after a work order is created and loaded.
• Click "Review Duplicates" will launch a candidate list of duplicates for users to decide.
• A menu "Review Duplicates" is added at More dropdown in the "Planning" tab of work order form.
• The feature is not enabled out of the box. Clients may contact Calem to enable the feature.

 1. Geo Radius and Other Attributes

Calem uses additional attributes in work orders to sharpen the duplicate search process.

Geo locations of work orders can help in the duplicate search. For instance, a work order is created with a latitude and longitude. Calem will include subjects and descriptions search by language models for work orders created within 150 meters (default radius).

Work order request time can help in the duplicate search.  For instance, work orders created over 14 days ago (default time window setting) are not included in subjects and descriptions search by language models.

Work orders created for assets may include work orders for the same asset in duplicate search. Otherwise, work order site is used to include work orders for the same site in duplicate search.

 2. Calem AI Setup

Calem AI needs to be configured for the feature before it can be enabled. It is done for clients of Calem Cloud. Clients of on-premise deployment may contact Calem Team for help.

• A vector database for subject/description search
• Language models including "sentence-transformers" and "transformers".
